Associate / Senior Associate, Office of International Relations

 

Reporting to the Manager, the Associate / Senior Associate’s role is to provide necessary administrative support to the Office of International Relations for activities relating to the collaboration with partner universities and student exchange activities which include (but are not limited to) the following:

 

1)      Manage inbound and outbound exchange awards and scholarships

  • Administer and process exchange awards and scholarships applications
  • Manage awards and scholarship selection according to selection criteria
  • Manage awards and scholarship offer and fund disbursement
  • Liaise with students on scholarship deliverables and report submission, if any
    • Coordinate student interviews with donors
    • Liaise with internal and external stakeholders including Advancement Office and funding agency
    • Manage website content and assist in content updates
    • Response to phone and email queries
    • Administer and follow up on feedback survey

 

2)      Manage Temasek Foundation International Leadership Enrichment and Regional Networking (TF Intl LEaRN) Programme

  • Prepare briefing slides and meet with the students at welcome briefing
  • Disburse TF Intl LEaRN Programme awards to students associated with the outbound or inbound exchange destination
  • Coordinate the students’ presentations and prepare them for the Young Asian Leaders Forum
  • Coordinate students’ participation with community service organisations
  • Plan and organise networking lunch and training workshop
  • Liaise with vendor to produce marketing materials for TF Intl LEaRN scholars
  • Participate in TF Intl LEaRN Programme related events such as Friendship day
  • Follow-up with students on the award’s deliverables and report submission
  • Assist the students on their enquiries related to the programme
  • Follow up on students’ feedback via e-survey
  • Assist in website updates

 

3)     Assist with inbound student exchange related activities (Overseas students coming to SUTD)

  • Administer inbound student exchange applications (including application system)
  • Plan, coordinate and implement SUTD orientation programme
  • Organise social/cultural activities and prepare localisation materials for exchange student
  • Prepare for arrival of exchange students, including matriculation, accommodation, bank account set-up, ICA student pass application etc
  • Assist exchange students during their stay in SUTD
  • Administer student exchange feedback survey

4)      Assist with other international relations and collaborative activities

    • Assist with visit programme from overseas partner universities
    • Assist in website update, research, report compilation, and database update when required
    • Provide administration and logistics support for events when required

 

 

 Requirements

 

  • GCE 'A' Level/Pre-University/Polytechnic
  • 2 to 5 years’ of relevant working experience would be an added advantage
  • Previous experience in managing and coordinating programmes or events
  • Good proficiency in MS Office applications, such as Microsoft Outlook, Word, Excel, Powerpoint. Knowledge in graphics and web development softwares such as Photoshop, Front Page etc will be an added advantage.
  • Knowledge in web design, and in computer software such as Adobe Photoshop, Dreamweaver would be an added advantage
  • Good communication and interpersonal skills
  • Independent and excellent team player
  • Self-driven, meticulous and organized with a strong ability to multi-task in a fast-paced environment
  • Has a strong interest to interact with a wide variety of people
