Associate / Senior Associate, Office of International Relations

 

Reporting to the Manager, the Associate / Senior Associate’s role is to provide necessary administrative support to the Office of International Relations for activities relating to the collaboration with partner universities and student exchange activities which include (but are not limited to) the following:

 

1)     Manage inbound student exchange related activities (Overseas students coming to SUTD)

  • Plan and execute inbound exchange marketing and publicity efforts
  • Administer and process inbound student exchange applications (including application system)
  • Prepare and collate information for inbound exchange guide, information package and handbook
  • Liaise with partner universities on nomination of students and student numbers
  • Liaise with faculty and pillar reps to review application, course selection and appeal cases
  • Manage exchange selection process and send out exchange offer and subject selection
  • Plan, coordinate and implement SUTD orientation programme and matriculation
  • Prepare orientation briefing slides and welcome package
  • Assist in airport pickup and hostel check-in
  • Liaise with various internal departments on orientation programme
  • Organise social/cultural activities and prepare localisation materials for exchange student
  • Prepare for arrival of exchange students, including matriculation, accommodation, bank account set-up, ICA student pass application, financial matters etc
  • Manage and assist exchange students during their stay in SUTD
  • Man emergency hotline and global email account and respond to phone and email queries, and emergency situations
  • Administer student exchange feedback survey and prepare transcripts/certificate of participation
  • Manage inbound exchange awards and scholarships
  • Plan exchange fair in collaboration with summer team from partner universities
  • Work on exchange system enhancement

 

 2)      Assist with other international relations and collaborative activities

    • Plan and manage visits from overseas partner universities (Asia and Oceania region)
    • Assist in website update, research, report compilation, and database update when required
    • Provide administration and logistics support for events when required

 

 Requirements

 

  • GCE 'A' Level/Pre-University/Polytechnic
  • 2 to 5 years’ of relevant working experience would be an added advantage
  • Previous experience in managing and coordinating programmes or events
  • Good proficiency in MS Office applications, such as Microsoft Outlook, Word, Excel, Powerpoint. Knowledge in graphics and web development softwares such as Photoshop, Front Page etc will be an added advantage.
  • Knowledge in web design, and in computer software such as Adobe Photoshop, Dreamweaver would be an added advantage
  • Good communication and interpersonal skills
  • Independent and excellent team player
  • Self-driven, meticulous and organized with a strong ability to multi-task in a fast-paced environment
  • Has a strong interest to interact with a wide variety of people
