You will be part of the Facilities Management team in the Office of Campus Infrastructure and Facilities (OCIF) and be responsible for the management and maintenance of the campus facilities.

You will lead a team of Associates and out-sourced service providers to ensure that the day-to-day management of facilities, maintenance support services, processes and frameworks and delivery of key performance indicators (KPI) are consistently kept at a high standard to support our campus operational requirements.

Responsibilities :

  • Plan, support and execute comprehensive facilities management programs including fault reporting, trouble shooting, assessment, providing solutions, testing and commissioning and liaising with vendors for Builder's works, soft facilities management services and horticulture works. 
  • Able to perform RCA (Root Cause Analysis) by recording, investigating, and analyzing reported breakdowns and faults so as to prevent future recurrence.;
  • To coordinate with the campus vendors, service providers, external authorities, and key stakeholders in the daily and periodic maintenance of the campus and implementation of the campus maintenance policies to ensure that service guidelines and performance standards are met;
  • Responsible for the annual budgeting for the Building & Soft Services Unit, including budget tracking;
  • Responsible for the procurement and contract administration of the respective vendors including meeting contractual obligations, specification reviews to ensure cost effectiveness and competitiveness and processing of payments to vendors;
  • Provide project management support for fit-outs, renovations and upgrading works by ensuring that works are monitored and co-ordinated to ensure projects are completed on schedule and meets the University's quality standards and contractual requirements;
  • Serve as a primary interface between the SUTD Community and OCIF for facilities and spatial needs such as obtaining feedback and follow up with the relevant departments to mitigate service shortfalls and improve service deliveries ;
  • Assist in the formulation of Standard Operating Procedures (SOP) for preventive and corrective maintenance operations;
  • Preparation of management reports and tracking of KPIs to ensure prompt reporting;
  • Provide advice and support for University research or academic projects, when required;
  • Contribute as part of the team in the BCA Greenmark certifying process;
  • Perform any other duties as assigned.


Requirements :

  • Degree with relevant professional qualifications or diploma (Civil Engineering, Estate Management, Building);
  • At least 6-8 years (at least 10 years for diploma) of related facilities management experience preferably in institutional, educational, research or large scale developments with experience in building and soft services. Prior experience in performance based cleaning contracting will be an added advantage;
  • Able to multi-task and with an eye for details;
  • Enjoys problem solving and able to work independently;
  • Excellent interpersonal and communication skills;
  • Familiar with local Code of Practices, Building and Fire Safety regulations;
  • Knowledge of BCA Greenmark and WSH-Bizsafe requirements will be an added advantage;
  • Excellent verbal and written communication skills and the ability to communicate effectively across all levels and function well in a team.
