The Aviation Studies Institute (ASI) in SUTD is established jointly with the Civil Aviation Authority of Singapore. Our goal is to establish a world-leading center of aviation policy research and thought leadership. We are dedicated to the address the needs of aviation stakeholders in general and Air Traffic Management (ATM) policy makers in particular to advance the development of aviation in the Asia-Pacific region.


We are looking for a dynamic individual to oversee and manage the operations of ASI with the support of a multidisciplinary team.


The successful candidate is also responsible to work closely and collaboratively with a range of stakeholders to ensure all activities are in accordance with the grant agreement which normally includes the following:


Key Duties and Responsibilities:

  • Responsible for the overall operations and administrative functions of the Institute.

  • Manage the Institute’s facilities, resources, and office supplies to ensure smooth daily operations.

  • Manage the research programmes and projects in the Institute, by tracking progress, budget utilisation, deliverables and KPIs, and ensure that the programmes meet organization policies as well as audit requirements.

  • Ensure programmes and projects are carried out according to schedule, approved policies and procedures.

  • Provide secretariat office support for all stakeholder meetings including the preparation of project progress updates and take notes of meeting.

  • Assist the Institute Director to recruit research personnel (e.g. postdoctoral research fellows, research associates, research assistants) and administrative staff to the Institute, through advertising openings, arranging interviews and carry out boarding procedures such as seat assignment, IT accounts and security passes.

  • Procure goods and services (including professional/consultancy services), including preparation of requirements specifications, raising purchase requests, and contract management.

  • Plan and run conferences / seminars / public forums to showcase the Institute’s capabilities in Singapore and the ASEAN region and globally.

  • Work with the Institute’s management team to establish new partnerships and collaborations with industry and agencies.

  • Work with the Institute’s management team to handle grant processes and project agreements, including confidentiality and intellectual property arrangements.

  • Carry out other administrative duties as required by the Institute.


  • A degree in any field of study.

  • Minimum 8-10 years of relevant working experience. Previous experience in working in the research or aviation sector will be an advantage.

  • Strong project management skills with exceptional time, task, and resource management

  • Strong stakeholder management kills with outgoing personality with good interpersonal and communication skills, and high motivation to learn.

  • Ability to work independently with minimal supervision in a fast-paced environment, and collaboratively to pool expertise amongst colleagues, the    research communities and from within and across departments.

  • High level of initiative and result-oriented, with the ability to set, meet and exceed goals.
